Dear Mr. Jones,

The body will simply confirm the person’s employment, inform them that a more formal document will be sent or received once employment commences, and welcome them to the team. It should be similar to the following:

This letter confirms our recent conversation regarding your employment with Carillion Inc. We are pleased to offer you an appointment as Facilities Assistant commencing July 1, 2004 with a starting salary of $25,000 per annum. 

At this time I am submitting the required paperwork to our Human Resources Department to facilitate your placement in our Employee and Payroll system. 

Once said paperwork and registration is completed, a formal letter stating your exact and fundamental terms and conditions will be sent to you. This letter will also contain information about accessing and registering on the company’s employee training website, and additionally provide you with access to our employee self-service system where you can complete your paperwork online prior to commencing your employment. 

You should receive your final, formal letter within 3-5 working days, at which time it should be signed by you and returned to HR upon commencement of your employment. If you have not received such correspondence within five days pleas notify me immediately.
